Privacy Policy

Last updated · April 28, 2026

This Privacy Policy explains what information Deedbook collects, how we use it, and the choices you have. We collect only what we need to deliver the morning record and to keep the service safe.

1. What we collect

Information you give us

  • Account details — name, work email, phone, role, company, company type, team size
  • Preferences — markets and asset classes you cover, source of referral, optional use-case description
  • Communications — emails and messages you send us

Information we collect automatically

  • Email engagement — opens, link clicks, and delivery status, used to tune ranking and confirm deliverability
  • Site analytics — pages visited, approximate location (from IP), browser, and referring site

2. What we do not collect

We do not collect or store sensitive personal data such as Social Security numbers, banking credentials, or government-issued IDs. We do not sell your information.

3. How we use it

  • To deliver the morning email and tune its ranking
  • To verify eligibility and prevent abuse
  • To respond to you when you contact us
  • To produce aggregated, de-identified statistics about service performance

4. Sharing

We share information only:

  • With service providers (hosting, email delivery, error tracking) under contract that requires confidentiality
  • When required by law, valid legal process, or to protect rights and safety
  • In connection with a merger, acquisition, or asset sale, with advance notice to you

5. Public-record data

The transfer records in your morning email are aggregated from public county recorder of deeds filings and other public sources. They are not personal data we have collected about you. If you believe a record about you is inaccurate, please contact the originating county recorder or email us at privacy@deedbook.io.

6. Security

We use industry-standard transport encryption (TLS), encrypted storage at rest, and least-privilege access controls. No system is perfectly secure; please use a strong, unique password if any credentials are issued to you.

7. Your choices

  • Unsubscribe — every email contains a one-click unsubscribe link
  • Access & deletion — email privacy@deedbook.io to request a copy of your data or to have it deleted
  • Cookies — you can disable analytics cookies in your browser without affecting email delivery

8. Retention

We retain account information while your account is active and for up to 24 months after you unsubscribe, after which it is deleted or de-identified.

9. International transfers

Deedbook is operated from the United States. By using the service you understand that your information will be processed in the U.S. and other countries that may have different data-protection laws than your home jurisdiction.

10. Changes

We may update this Privacy Policy from time to time. Material changes will be announced by email at least 14 days before they take effect.
